Microsoft 365 Licensing Changes in 2025: What You Need to Know
If your business uses Microsoft 365, Dynamics 365, or other Microsoft cloud services, staying informed about upcoming licensing changes is essential. Microsoft is adjusting its pricing model in 2025, which could impact your IT costs. However, with the right approach, you can optimise your licensing and avoid unnecessary price increases.
Microsoft’s Upcoming Price Adjustments
Microsoft has announced that, effective 1st February 2025, cloud service prices in the UK will decrease by 5% to 6%. This adjustment is part of Microsoft’s effort to align pricing with global levels, ensuring consistency across regions and currencies. The reduction will apply upon your next renewal after this date.
However, starting April 1st, 2025, Microsoft will increase the price of all Microsoft 365 subscriptions in the UK by 5% for customers on a monthly payment plan with an annual commitment. If your subscription renews after this date, your pricing will reflect this increase. However, customers who pay annually upfront will not be affected and will retain their current pricing.
Updated Microsoft Licensing Pricing Structure
Microsoft is introducing three pricing options with different billing terms:
- Monthly Commitment / Monthly Payment – Priced at 20% above the Recommended Retail Price (RRP) (unchanged).
- Annual Commitment / Monthly Payment – Now subject to a 5% increase over RRP (new change).
- Annual Commitment / Annual Payment – Maintains the RRP with no additional increase (unchanged).
To streamline billing, from April 1st, 2025, Microsoft will increase pricing by 5% for annual commitment plans paid monthly. The most cost-effective option to secure lower pricing after this date is to opt for an annual commitment with upfront payment.
How This Affects Your Renewal
To help you navigate these changes, we have categorised Microsoft licensing customers into three groups based on their renewal periods:
1. Renewals Before February 2025
Customers in this group will not be affected by either the February price decrease or the April price increase. Your pricing remains the same until your next renewal.
2. Renewals Between February and April 2025
This group will benefit from a 4-6% price decrease without being affected by the April price increase. This is a great opportunity to secure lower pricing for your licenses. Even if your licensing is with another provider, we can help you understand your options—get in touch now.
3. Renewals After April 2025
Customers renewing after April 1st will experience both the 4-6% price decrease and the 5% price increase. We strongly recommend reviewing your licensing needs and considering early renewal options to maximise savings.
Why Is Microsoft Increasing Prices?
Microsoft has linked these pricing changes to enhancing service value and improving cash flow flexibility. Key reasons include:
- Continuous feature enhancements – Microsoft is investing in new capabilities, including AI-driven tools like Microsoft Copilot to enhance automation and productivity.
- Security improvements – Strengthened security and performance optimisations across Microsoft 365 applications.
- Streamlined billing model – Adjustments are designed to simplify licensing structures and provide flexible payment options.
- Limited impact for upfront annual payments – The 5% increase only affects customers paying monthly with an annual commitment, while those paying upfront annually remain unaffected.
How to Mitigate the Impact
To avoid unnecessary cost increases, consider these strategies:
✔ Switch to an annual upfront payment before renewal to lock in lower pricing.
✔ Review your current subscription usage to identify potential cost-saving adjustments.
✔ Explore alternative licensing options that better fit your business needs.
